Calendar Tool Bar Tool bar icons:Calendar Calendar icons &newline;∅ The Calendar tool bar provides the following controls: &newline;∅ Appointment Editor icon:in Tool bar Use the Appointment Editor to add, delete, and edit appointments on your calendar, and set reminders, repeat interval, and privacy level for individual appointments. To see what the Appointment Editor looks like, click on its icon. To Do Editor icon:in Tool bar Use the To Do Editor to add, delete, and edit To Do items on your calendar, and set reminders and a repeat interval for individual To Do items. To see what the To Do Editor looks like, click on its icon. Previous view icon, in Tool bar The left-facing arrow changes the view displayed in the calendar to the previous view. For example, if you are viewing by month, clicking the left-facing arrow displays the previous month. Today icon, in Tool bar The Today button changes the calendar display to the current day in the format you are viewing. For example, if you are viewing by month, clicking Today displays the current month. Next view icon, in Tool bar The right-facing arrow changes the view displayed in the calendar to the next view. For example, if you are viewing by month, clicking the right-facing arrow displays the next month. Day view icon, in Tool bar The Day view icon displays the calendar you are viewing with a single day's appointments In the window. Day view also provides a three-month mini-calendar for reference and navigation, which displays the month you are viewing and the previous and next months. To see what Day view looks like, click on its icon. Week view icon, in Tool bar The Week view icon displays the calendar you are viewing with a week's appointments in the window. In week view, a grid is displayed showing shaded areas where appointments are scheduled. To see what Week view looks like, click on its icon. Month view icon, in Tool bar The Month view icon displays the calendar you are viewing with a month's appointments in the window. To see what Month view looks like, click on its icon. Year view icon, in Tool bar The Year view icon displays the calendar you are viewing with a year in the window. Appointments are not displayed. To see what Year view looks like, click on its icon. Use the standalone Appointment Editor to create an appointment and save it in a file. You can then mail the formatted appointment to other users. Recipients of a calendar-formatted appointment can drag and drop it on their calendars to automatically schedule it. &newline;∅ &newline;∅ Date The appointment date. Use the date format, such as MM/DD/YY, set in the Date Format dialog box. Start The appointment start time. Choose AM or PM. End The appointment end time. Choose AM or PM. The default appointment duration is one hour. What A description of the appointment such as its purpose or location. Drag Appt After entering an appointment, use this icon to drag the formatted appointment to Mailer or File Manager. Frequency The repeat interval and frequency if your appointment occurs regularly. Occurs The repeat interval, or how often the appointment repeats. For The number of times an appointment repeat. Save Saves the appointment in a file. Reset Resets standalone Appointment Editor fields to the way they were since the last time you clicked Save. To print directly, click the Print to Printer radio button. You can select a different printer by: Typing the new printer name in the Printer Name field. Clicking the More Printers... button and selecting the printer from the displayed list. To display a description of the currently selected printer, click the Info... button. To print to a file, click the Print to File radio button. You can select the file to receive the PostScript output by: Typing the path and filename for the file in the File Name field. Clicking the Select File... button and browsing for the file name. To print multiple copies, type the number of copies in the Copies field. For file output, only one copy is created. Choose the view or list you want to print from the Report Type menu. You can choose from Day View, Week View, Month View, Year View, Appointment List, or To Do List. If necessary, set the correct time range by changing the From and To fields. To set additional options, click the More... button. The Calendar Options dialog box appears so you can set additional print options for headers and footers, margins, and the privacy level for printed appointments. See . When finished with the Printer Settings, click OK to establish your choices as the new defaults and return to the Print dialog box. When you print with default options, your new settings will be used. Apply sets the new defaults, but remains in this dialog box. Reset restores the options to their previous settings. Cancel cancels any changes since the last Apply and returns you to the Print dialog box. To set printer-specific options, click the Setup... button on the Print dialog box. The Print Setup window appears. From this window, you can examine printer information and define both Printer and Job options. See Print Setup Window for more information. When finished with the Print Setup window, click OK to set your changes and return to the Print dialog box. To send the selected view or list to the printer from the Print dialog box, click Print. Click Close to close the Print dialog box. Choose Display Settings from the Category menu in the Options dialog box to determine the default settings for Calendar views. &newline;∅ &newline;∅ User Calendar Location The name of the system on which the calendar files are stored. By default, it's the user's own system. Day Boundaries The first and last hours you want displayed on your Calendar. Begin The earliest hour you want displayed on your Calendar. For example, this might be 7:00am (or 0700). End The latest hour you want displayed on your Calendar. For example, this might be 6:00pm (or 1800). Hour Display Choose from a 12-hour convention using am and pm, as used in the United States, or a 24-hour convention, as used in Europe. Default View The view (Day, Week, Month, or Year) that is displayed when the Calendar program first starts. Set this to the view you use most often. Initial Calendar View The name and location of the calendar that is displayed when the Calendar program first starts. It is usually your own calendar, but if you schedule appointments for someone else, you can set the Initial Calendar View so it displays the other calendar. Remove Name Removes the selected calendar from the Access List. Permissions Three levels of access to your calendar that you can grant to others. You can choose more than one permission. Browse Browse (the default) allows users to look at your calendar. You can set how much information they can see with the Privacy setting. You can remove Browse access for selected users using the Menu Editor. Insert Permission for others to insert appointments on your calendar. Delete Permission for others to delete appointments on your calendar. &newline;∅ User Name The name and system (calendar-name@hostname) of the calendar to which you want to grant access. Access Rights The access to your appointments you grant to specific other calendars. Public Access to all your appointments marked Others See Time and Text Semiprivate Access to all your appointments marked Others See Time Only Private Access to all your appointments marked Others See Nothing Note that each button is independent of the others. Setting one button does not affect either of the other buttons, nor does it imply access to any other type of appointment. Permissions Three levels of access to your calendar that you can grant to others. You can choose more than one permission. View Permission for others to look at the appointments with the privacy level (public, semiprivate, or private) that you've designated. Insert Permission for others to insert on your calendar appointments with the privacy level you've designated. Change Permission for others to change on your calendar (including deleting) appointments with the privacy level you've designated. Add Adds the calendar in the User Name field to the Access List. Delete Deletes the selected calendar from the Access List. Change Updates access for the selected calendar. Access List The scrolling list of calendars. Select a calendar in the Access list to see its access. The calendar called world means everyone. You can change the settings for individual appointments using the Appointment Editor. Type the desired values in the Top, Left, Right, and Bottom fields. You can specify margin values in inches (in), centimeters (cm), or pixels (pi). The default is inches (in). The default value for all margins is one inch. Your margin settings remain in effect until you change them. They are used when you print with default options. Headers and Footers Includes headers and/or footers on the printed output. Choose the type of information you want for Top Left, Bottom Left, Top Right, and/or Bottom Right. For each position, you can select: Date, to display the current date. User ID, to display your user Id. Page Number, to display page numbers. Report Type, to display the type of report. None, to display nothing. This is the initial default for all positions. Your header and footer settings remain in effect until you change them. They are used when you print with default options. Appointments Sets the privacy level for printed appointments. Select one of the following for Appointments: Show Time and Text Appts Show Time Only Appts Show Nothing Appts Your appointments privacy level remains in effect until you change it. It is used when you print with default options. The available buttons are: OK Establishes your choices as the new defaults and returns to the Print dialog box.
