Mailer Tasks These instructions assume you are using a mouse. Most tasks can also be done without a mouse. See Keyboard Shortcuts for the Desktop for more information. The text of the message appears in the Message View. Or, Double-click on the message to open it into a separate window. The message remains in the separate window even when you select another message in your Inbox. The Edit and Attachments menus become available. To Find a Mail Message finding messages messages, finding Choose Find from the Message menu. &newline;The Find dialog box appears. Type the text you want to search on in the appropriate field. You can search for a match on the To, From, Subject, and Cc fields. Select Forward or Backward to set the search direction in the mailbox. Click Find to select the first message found. If you think there may be several messages, click Select All to mark (by selection) each matching message. You can remove all the text in the Find fields at any time by clicking Clear. To Save a Message as Text messages, saving as text saving messages as text Select one or multiple messages. To select multiple messages, either choose Select All from the Message menu or click and drag the mouse over multiple consecutive message headers. Choose Save As Text from the Message menu. Type a file name and location for your message. Click Save. Mailer saves your message in the specified location. The (New Message) Compose window appears. Type the email addresses of the people to whom you want to send the message in the To field. You can send a message to a single user, multiple users, or an alias. Type the topic or title of the message in the Subject field. Optional: Type the email addresses of the people whom you want to be carbon copy recipients of the messages in the Cc field. Type the message text in the text area. Optional: To format the text with a 72-character right margin, select the text and choose Word Wrap from the Compose Edit menu. For information on editing functions, refer to , or . Optional: Add files to the message, if desired. To find out how to add an attachment, see . Click the Send button or choose Send from the Compose File menu. The Compose window closes and the message is sent. Clicking Close removes the Compose window and discards your message. Be sure to save any text you might want later before closing the Compose window. To reply to the sender, click Reply to Sender or choose Reply to Sender from the Compose menu. To reply to the sender and all the recipients of the message, choose Reply to All from the Compose menu. To reply to the sender and all the recipients of the message and include a copy of the message, choose Reply to All, Include from the Compose menu. Type the text of the reply. Click the Send button or choose Send from the Compose File menu. The Compose window closes and the message is sent. Choose Forward Message from the Compose menu. You see the text of the message to be forwarded within a new message. If the message had attachments, you see them as well. Optional: You can remove any attachments you do not want to forward by selecting them and choosing Delete from the Attachments menu. Type the addresses of the people to whom you want to forward the message in the To or Cc fields. Add any additional text and click Send. Choose New, Include All from the Compose menu. Compose and send your message as usual. Choose Include from the File menu in the Compose window. The Include dialog box appears. Select the text file to be included in your email message, or type its path. Click OK. The file is included in the text area of the message. Compose and send your message as usual. The Mail Options dialog box appears. Select Vacation from the Category menu. Select On. Type a subject and message for your vacation message and click OK or Apply. Your vacation message takes effect the next time someone sends you a message. To Print Mail Messages within Mailer printing messages messages, printing You can print a message using the default options or you can set different print options. To Print a Message with the Default Options printing messages, using default options messages, printing using default options Select the message to be printed in the Message Header list. Click the Print button. To Print a Message with Specific Options printing messages, using specific options messages, printing using specific options Select the message to be printed in the Message Header list. Shift+Click enables you to select several messages in a row by moving the highlight up or down the message header list. Control+Click enables you to select discontiguous messages one at a time from the list. Choose Print... from the Message menu or press Control+P. The Print dialog box appears. To select a different printer, type the new printer name in the Printer Name field. To output multiple copies, type the number of copies in the Copies field. To print to a file, click the Print to File checkbox and type the path and filename for the file. To submit multiple messages as individual print jobs, click the Print Separately checkbox. To have long lines wrap to fit the page size, click the Use Word Wrap checkbox. To set additional options, click the More... button. The Mailer - Mail Options dialog box appears so you can set additional options for headers and footers, margins, printed message headers, and the multiple message separator. See . When finished setting the Print Options, click OK to establish your choices as the new defaults and return to the Print dialog box. When you print with default options, your new settings will be used. Apply sets the new defaults, but remains in this dialog box. Reset restores the options to their previous settings. Cancel cancels any changes since the last Apply and returns you to the Print dialog box. To set printer-specific options, click the Setup... button on the Print dialog box. The Print Setup window appears. From this window, you can examine printer information and define both Printer and Job options. See Print Setup Window for more information. When finished with the Print Setup window, click OK to set your changes and return to the Print dialog box. To send the selected message(s) to the printer from the Print dialog box, click Print. To View an Attachment attachments, viewing viewing attachments Select the attachment icon in the attachment list. Choose Open from the Attachments menu. If you do not see Open on the Attachments menu, you cannot open the attachment. Or Double-click the attachment icon. To Add an Attachment attachments, sending sending attachments attachments, adding adding attachments Compose your email message. Choose Add File from the Attachments Menu. The Mailer Add dialog box appears. Select a file to attach and click Add. The attachment is added to the attachment list in the lower portion of the Compose window. Type a new name for the file. Select a place in your file system to save the attachment and click Save. The file is saved to the selected location. See Also To Print an Attachment attachments, printing printing attachments If your system does not provide the ability to print attachments, the Print menu item will not be available. Select the attachment. Choose Print from the Attachments menu. To Create a Mailbox mailboxes, creating creating mailboxes Choose New from the Mailbox menu. Type the mailbox name and location in your file system. Click New. The new mailbox is created and opened. You may want to establish mailboxes for different projects or different email lists you receive. There are several ways to file messages in other mailboxes: Choosing Other Mailboxes from the Move menu (or the Copy To submenu of the Message menu) and indicating the mailbox within your file system. Adding to your Move menu (or the Copy To submenu of the Message menu) mailboxes in which you frequently file messages. For information on adding mailboxes to your Move menu, refer to the . Setting your Move menu to display the most recently visited mailboxes. For information on this option, refer to the . Dragging and dropping messages to other mailboxes. See for more information. The message and attachments (if any) are deleted from the list. Once a message has been deleted, you can get it back unless you made your deletions permanent by choosing Destroy Deleted Messages from the Mailbox menu. To restore a message you just deleted, choose Undelete Last from the Message menu. Repeatedly selecting Undelete Last will undelete additional messages, in reverse order to the order in which they were deleted. To restore an earlier message, choose Undelete from List from the Message menu, select one or more messages from the list of deleted messages, and click Undelete. Make the deletions in the list permanent by choosing Destroy Deleted Messages from the Mailbox menu. For information on destroying deleted messages, refer to the . Edit the message in the Compose window and send it. The Find/Change dialog box appears. Type (or copy and paste) the text you want to locate in the Find field. To automatically change the found Text to replacement text, type the replacement text in the Change To field. Click the appropriate Find option: Click Find to find and select the text. Click Change to change the first instance of the found text. Click Change All to change all instances of the found text. Click Close to close the Find dialog box. To Check Spelling in Your Mail Message checking spelling spelling, checking Click in the Compose window at the beginning of your mail message. Choose Check Spelling from the Compose Edit menu. The Spell dialog box appears displaying a list of potentially misspelled words with the first word highlighted. To see a word in context, select it and click Find. To correct a word, select it, and type the word correction in the Change To field. Click Change to correct a single occurrence, or Change All to correct all occurrences. The Mail Options dialog box appears. Select the Options category that contains what you want to change. The categories are: Message Header List, Message View, Compose Window, Message Filing, Vacation, Templates, Aliases, and Advanced. Drag the message onto the Printer control in the Front Panel. The Print dialog box appears. Set the print options as desired and click Print. Open two or three frequently used mailboxes on the desktop making sure you can see the Message Header list. Select the message to be copied. Drag the message and drop it onto the appropriate mailbox Message Header List. If you hold down the Control key during the drag and drop, the message is copied. If you do not hold down Control, the message is moved. Create the text file or select it within File Manager. Drag the text file from File Manager and drop it onto the Attachment list in the Compose window. Send the message as usual. Create your calendar appointment. Drag the appointment from Calendar and drop it on Mailer. Send the message as usual. Choose Alias from the Category menu of the Mail Options dialog box. Type the name for your alias in the Alias field. Type the user addresses that will make up the alias. Each of the addresses should be in the form username@hostname and be separated by a comma, space, or both. Click Add to add the information in the Alias and Addresses fields to the Alias list. Click OK or Apply to make the settings take effect. You can also change or remove an alias. Create your template using a text editor and save it in your file system. Add the template to the Format menu using the Template options. For more information, see the . Choose New Message from the Compose menu. Choose Templates from the Format menu and select the correct template from the list. Your template is added to your mail message. Add text to the mail message. Send the message as usual.
